1. Overview & Platform Purpose
FormBuilder is a modern, privacy-focused alternative to Google Forms designed to help creators, teams, and developers build and manage interactive online forms with speed and flexibility.
Our platform provides two powerful creation modes: an interactive conversational AI Agent that turns your prompts into ready-to-use forms by asking you what fields you need, and a flexible Manual Builder for crafting custom fields and validation rules directly.
We never sell, rent, or trade your personal data, form structures, or submitted answers to third-party advertisers. All form submissions belong entirely to you.
Guiding Privacy Principle
You own 100% of your forms, submission records, and connected Google Sheets. FormBuilder processes your data solely to execute the features you request.
2. Information We Collect
To deliver seamless form generation, authenticated submissions, and reliable integrations, we collect only the necessary information outlined below.
2.1 Google Authentication Data (Creators & Respondents)
Form Creators: When you sign up or log in to FormBuilder, we authenticate your account using Google OAuth, collecting your verified name, email address, and profile avatar to manage your forms workspace.
Form Respondents: When you publish and share a form publicly, respondents are required to authenticate via Google Sign-In before viewing and submitting the form. This ensures verified, spam-free responses and associates their verified submission with the form.
2.2 Forms, Drafts & Submission Data
Form Structure & Fields: The questions, input types (text, email, select, rating, etc.), labels, and validation rules configured manually or via the AI agent.
In-Progress Draft State: When a respondent starts filling out a form, their partially filled answers are automatically saved so that if they leave, close the browser, or refresh, their answers are preserved when they return.
Submitted Responses: All final form responses, submission timestamps, and respondent Google account identifiers stored securely in your dashboard database.
2.3 Google Sheets Integration Data & Sync Logs
When you connect your form directly to Google Sheets, we store the authorized Google OAuth token, target Spreadsheet ID, and sheet metadata.
Sync Failure Logs: If a submission row append fails due to temporary network issues, expired permissions, or Google API limits, our system logs the failed event details so you can inspect error logs and trigger auto or manual retry without losing response data.
2.4 AI Agent Prompts & Analytics Requests
Form Creation Prompts: The initial natural language prompts you provide to the AI agent, along with your answers to the agent's interactive questions about what fields you need.
Dashboard Analytics Queries: The questions and commands you ask the AI agent when requesting analysis, summaries, or insights on your collected submission data.
3. How We Process Your Data
FormBuilder processes your information strictly to power the core features of our platform without unnecessary external sharing.
3.1 Conversational AI Form Building
When you build a form via the AI Agent, your prompt initiates a conversational workflow where the agent asks you follow-up questions to understand the exact fields and validations your form requires.
Upon your confirmation ('Done'), the AI agent generates the schema and publishes the form. We process your prompts through secure enterprise LLM inference without using your private form data to train public foundation models.
3.2 Real-Time Google Sheets Sync & Failure Logging
When enabled, every form submission is instantly appended as a new row in your connected Google Sheet in real time.
If an append fails, the system records the failure in your dashboard's Sync Failure Logs, preserving the submission data securely in the FormBuilder database so that you can view the error and re-sync anytime.
3.3 Dashboard AI Submission Analytics
Inside your submission dashboard, you can interact with our AI Agent to analyze your collected form data.
The AI Agent evaluates submission trends, generates summaries, highlights patterns, and answers questions regarding your form responses on demand.
3.4 Website Embedding & Public Links
FormBuilder provides embed code snippets (HTML iframe/script, React component, WordPress, and shareable URLs) allowing you to link or embed forms directly into your own website.
Embedded forms maintain the same Google authentication gate and draft auto-save protection as standalone public forms.
4. In-Progress Draft Auto-Save
To ensure respondents never lose their progress, FormBuilder automatically persists partially completed form answers across sessions.
If a respondent fills half of a form and navigates away or accidentally closes their browser tab, their data is preserved. Upon reopening the form link with their Google account, their previously filled fields are automatically restored.
Draft data is stored securely in browser session/local state and synchronized under the respondent's verified Google session until final submission.
Zero Lost Submissions
Draft auto-save ensures respondents can complete lengthy or detailed forms at their own pace without starting over from scratch.
5. Security & Data Protection
We implement industry-standard security protocols to safeguard all forms, drafts, and submissions.
- Encryption in Transit: All data transfers, Google OAuth exchanges, and embed communications use strict TLS 1.3 encryption.
- Encryption at Rest: Submission databases, integration tokens, and failure logs are encrypted at rest using AES-256.
- Verified Respondent Isolation: Google Sign-In requirement ensures legitimate users submit responses and eliminates automated spam submissions.
- Granular Workspace Access: Only the authenticated creator of a form can access its submission dashboard, sync logs, and AI analytics.
6. Your Data Rights & Controls
As a FormBuilder creator or respondent, you retain comprehensive rights over your data:
- Export Submissions: Download all collected responses as CSV or view them synchronized live in Google Sheets.
- Delete Data: Delete individual form responses, sync failure logs, or entire forms from your dashboard at any time.
- Revoke Google Integrations: Disconnect Google Sheets sync or revoke FormBuilder's Google authorization at any time via your Google Account security settings.
- Respondent Privacy: Respondents may request deletion of their submitted data directly through the form creator who controls the form.
7. Policy Updates & Inquiries
We may update this Privacy Policy as we add new integrations or features to FormBuilder. All changes will be reflected on this page with an updated 'Last Updated' date.
